1. Who we are

Campus OS is software that schools use to run their daily work. Each school decides which details of students, parents and staff it keeps in Campus OS and why. Under India's Digital Personal Data Protection Act, 2023, the school is responsible for these details, and Campus OS looks after them only for the school and only as the school asks.

2. What we keep

About students: name, class, roll number, date of birth, gender, photo, admission number, parent or guardian name and phone, and address. If the school chooses, also Aadhaar, APAAR ID, PEN, category, religion and mother tongue.

School records: attendance, marks and report cards, homework, notices, fees and payments (including the UPI reference number a parent types in), and certificates.

About logins: name, mobile number or login ID, and role (office, teacher, parent or student).

We never keep card or bank details. UPI payments go straight from the parent to the school's own account.

3. Why we use it

Only to run the school: attendance, teaching, exams, fees, messages to families and records the government asks for.

We never sell these details, never show ads, and never track or profile children.

4. Children's details

Most students are under 18, so the school needs a parent's or guardian's agreement before keeping a child's details. Parents give it on the admission form or the first time they sign in to Campus OS.

A parent can take back this agreement by telling the school office. The school then stops using the details, except records the law says must be kept (like the admission register).

5. Who can see it

The principal and office staff of the child's school; the teachers of the child's class; and the child's own family. Aadhaar and other ID numbers are seen only by the office, and Aadhaar is shown with most digits hidden.

Other schools using Campus OS can never see your school's details. Campus OS staff open them only to keep the service working or when the school asks for help. We share details with others only when the law requires it.

6. How we keep it safe

Details are stored on secure cloud servers and always sent over encrypted connections. Each school's details are kept separate. Photos and report cards open only through private links that stop working after a few days. Changes to students, marks and fees are recorded in a history the principal can see.

7. How long we keep it

As long as the school uses Campus OS, and as long as the law asks the school to keep records. If a school stops paying, its details are not deleted; the school can still read them. When a school asks in writing, we give it a copy of its details and then delete them.

8. Your rights

You can ask to see, correct or delete your details or your child's, take back your agreement, or make a complaint. Please ask your school office first.

You can also write to Campus OS at privacy@campusos.io. We reply within 30 days. If you are not satisfied, you may complain to the Data Protection Board of India.

9. Changes to this policy

If we change this policy in an important way, the app will show the new version and ask parents to agree again.
